Admin Finance Assistant
International Medical Corps is a global, humanitarian, nonprofit organization dedicated to saving lives and relieving suffering through health care training and relief and development programs. Established in 1984 by volunteer doctors and nurses, International Medical Corps is a private, voluntary, nonpolitical, nonsectarian organization. Its mission is to improve the quality of life through health interventions and related activities that build local capacity in underserved communities worldwide. By offering training and health care to local populations and medical assistance to people at highest risk, and with the flexibility to respond rapidly to emergency situations, International Medical Corps rehabilitates devastated health care systems and helps bring them back to self-reliance.
International Medical Corps began working in Gaza in late 2008, after Israel launched a military offensive that displaced thousands of civilians. We responded with mobile medical teams cross-trained in mental health and continue our work in improving the health and well-being of the people of Gaza through a mental health program that builds the capacity of local service providers.
Position title: Admin Finance Assistant
Department: Finance Administration
Start date: ASAP
End date: 26/10/2014 with possible to extension.
Scope of Work:
-Reception Management
-Maintenance, placement and management of international calls.
-Photocopying and binding
-Receive and dispatch mail to respective recipients
-Controller of stationery and office supplies
-Maintenance services coordinator.
-Follow up on health insurance and other insurance contracts.
-Office needs and guesthouse needs coordinator including utilities and services follow-up.
-Scanning of monthly documents.
-Ensure proper documentation - including requisition, request memos, proforma invoices, bid analysis, cash invoices, purchase orders, stamps (paid/ goods or services received/ delivered) financial transactions
-Prepare payment vouchers.
-Maintain filing of vouchers into separate folders
-Separate and create Excel worksheet for daily cash disbursement request and payment vouchers into CTJs, BTJs.
-HR document preparation.
Deliverables:
-Supporting documents for monthly financial report
-Monthly scanning
-Check off list for the maintenances
Minimum Qualifications:
-Bachelor degree
-One year of experience with HR/Admin finance preferably in an NGO
-Good English
-Good communication skills
-Skills:
-Experience of working with HR/Admin
-Flexibility and high motivation to learn
